Note: to archive or delete a LeveragePoint user, a user must have an Administrator, Administrator * Templates, or User Admin Only role within LeveragePoint.
Part of an administrator's job is the active management of their configuration's user base, including the removing of users that no longer need LeveragePoint access or that have left their company. A user's access can be revoked by either archiving their account or deleting their account from the Administer Users page.
Note: Archiving or Deleting users will not remove any of their work from LeveragePoint. Anything created or modified by users will remain unless it is specifically deleted.
Archiving vs Deleting
Archiving and deleting users both revoke a user's access to the LeveragePoint tool and removes them from the total count of users for configuration.
However, archiving a user retains their information and activity within LeveragePoint and allows the possibility for the user's account to be restored. That is, their same account can be reactivated once it has been archived. Deleting a user will remove a user's information and activity log from LeveragePoint.
Below is briefly what you can expect when you archive and delete a user.
Archive:
- User can no longer access LeveragePoint
- All user activity remains in LeveragePoint attributed to that user (i.e. a value model created by a user states who created the model)
- User's access can be restored with the same account
- Archiving user is NOT GDPR compliant if administrator is required to erase a user's information
Delete
- User can no longer access LeveragePoint
- All user activity remains in LeveragePoint but is made anonymous (i.e. a value model created by a user will not list who created the model)
- User's access cannot be restored, a new account would have to be created
- Deleting user is GDPR compliant if administrator is required to erase a user's information
How to Archive and Restore a User
To archive a user, select the "Archive" option next to the relevant user. This will remove the user from the list of Active LeveragePoint users. To view the list of archived users, use the dropdown filter next to the search bar on the top of the page to select "Archived".
To restore an archived user, click the "Restore" option next to the relevant user. This will move them back to the Active user list and allow them to access LeveragePoint.
How to Delete a User
To delete a user, select the "Delete" option next to the relevant user. A pop up will appear reminding the administrator that deleting a user will remove their account from the system. Click the option to delete the user's information and select OK to complete the action.
